How to Create Privileged Groups

May 23, 2007

So now that you know how to make a privileged post, you need to designate who you want to view that post. You could, as I mentioned here, type in individual email addresses of the people you want to give permission to. That works quite well. However, what you really want to be able to do is assign a post to be viewable by certain groups of people. For example, you might want the super fun but slightly naughty article about going out with your friends to be viewable by your barkada but not by your family. Or you might have a special family moment that you'd want to share strictly to members of your family. You might also have an article you want only your officemates to be able to access. The good news is that this is incredibly simple to do on I.PH. You can create different Privileged Groups and the members don't even need to be on I.PH! Here's how:

Log in to your account and click on DASHBOARD to enter your control panel. Then under the Privileged Groups section, click on Create Group.

This opens a dialog box. Enter a name for the group you are creating and click on the Submit button.

Let's say the new privileged group's name is "Officemates". The moment you hit Submit, your control panel will refresh itself and it should display the name of your new group like this:

You are now ready to add people to your group! Here's what you do, you click Add People in the People section of your dashboard, to the left of Privileged Groups.

This will open the Add Connections window which offers four different ways to add people to a particular group, searching for them on I.PH, entering their email addresses, importing from a web mail address book and importing your Outlook contacts. Let's discuss the the first method today:

In the Search for Calliope Users region, enter a name or keyword then hit search. It will generate a list of results on the right. Check the URLs that are shown on the middle column of the search results. Once you've found the person you are looking for, use the corresponding drop down menu on the third column to designate which group you want to add that person in. (Make sure to select "Do not Add" for people in the search results that you do not want to add. ) Once you're finished assigning groups, click on the Add Users button. And you're done.

Your Dashboard will refresh itself and your People section will now display the new people you just added. The next time you make a privileged post, instead of entering emails individually, you can simply check on the group who you want to give access to in the advanced settings of your post editor.

Tomorrow we tackle the other methods of adding people, particularly those who are not in the I.PH network,  to your privileged groups. Till then, blog on!
